Environmental Control & Utilities Administrative Assistant

Brown and Root Industrial Services LLC has an operations administrative position available.

This is a key support role within the Environmental Control & Utilities operations department.

The responsibilities of the position include the following:

Document Control Functions

Responsibilities for assuring that business procedural documents are kept current and record retention compliance is maintained.

This includes creating new procedures and making changes or revisions to existing procedures.

This applies to area documented procedures:

Operating Procedures & Manuals

Forms and Checklists

Technical Standards

Environmental compliance records

Safety Manual

Duties include:

·

Routing procedures for thorough review and authorization

·

Consolidating changes to procedures and typing changes as required

·

Maintain server copies of all procedures

·

Maintain hard copies (master) of all procedures

·

Copying authorized procedures and distribution of controlled copies

·

Maintaining Reading Room copies

·

Maintaining Microsoft Access database for procedure documentation

·

Assuring annual Operating Procedure certification is completed

·

Overall responsibility to manage the flow of documents in a timely manner to meet OSHA and area requirements

·

Keeping management advised of status of document control system, overdue procedures, etc.

Administrative Functions:

Safety

·

Creating Corrective Action Requests in ETQ (Enviance) to ensure closure of Pre-Startup Safety Review action items.

Management of Change

·

Issue MOC numbers for all changes (COD’s. TCOD’s & SCR’s)

·

Update/maintain MOC spreadsheet

·

Copy and distribute MOC’s

·

Set-up/maintain file folders for original MOC’s

TLM Maintenance and Distribution

·

Enroll students/employees in required quarterly courses per their job functions.

·

Issue/assign quarterly TLM courses and tests and monthly safety meeting TLM course and test.

·

Un-enroll/deactivate previous employees.

·

Change course material (modules) as requested.

·

Run necessary reports as needed

Purchase of Raw Materials

·

Create purchase orders/requisitions in SAP for the purchase and delivery of Sodium Hydroxide, Sodium Hypochlorite and Phosphoric Acid as needed.

·

Communicate those orders with the vendor to schedule pickup/delivery.

·

Upon receipt of material on-site, receive the appropriate quantity in SAP to ensure closure of purchase order.

Purchase of Operating Materials

·

Create framework orders in SAP for the purchase and delivery of Chlorine, Lime Slurry, and Miscellaneous Water Treatment Chemicals as needed.

·

Upon receipt of material on-site, receive the appropriate quantity in SAP.

Purchase of Operating & Office Supplies

·

Utilizing pre-approved vendors in SRM, purchase a variety of general industrial operating supplies.

·

Responsible for assuring that there is adequate inventory of office supplies in the area.

This includes periodically verify minimum essential inventory of supplies, initiate ordering of supplies as needed, controlling the distribution of supplies and manage requests of supplies to maintain low costs.

Invoice Discrepancies (Webcycles)

·

In the event that accounts payable has received an invoice inconsistent with the contract agreement/purchase order, further investigation is required.

·

Communication with vendor, contact with buyer, and/or SAP inquiry.

Order, Replace and Maintain Uniforms for all DuPont Employees

·

Order uniforms for all new employees.

·

Act as point of contact for any issues with uniforms (i.e., errors, alterations, replacements, etc.).

·

Ensure delivery of all new, laundered, altered, etc. uniforms.

Technical Files and Filing

·

Updating and maintaining all technical files and area Process Hazard Review and/or Analysis (PHR of PHA)


EC and Utilities technical files are filed in Library and ASN office.


EC and Utilities PHAs are filed in the Library in the cabinets labeled PHAs and in the ASN office.

·

Maintain area documentation to ensure record retention compliance


All new files must be labeled with a Records Retention label and managed per retention guidelines.

·

Filing of drawings


All EC and Utilities drawings are filed in the Library .


Folders must be made for drawings that do not have an existing folder.


When replacing old drawings with current drawings, old drawings must be shredded after having been removed from file.

Miscellaneous Tasks

·

Sorting mail

·

Printing, faxing, scanning

·

Maintain copy room equipment

·

Preparing office space for new employees in the area

·

Organizing special meals for special occasions and facilitating luncheon events
