KBR is providing programme management and procurement services on a major transformation of the Emergency Services communication capabilities in the UK.

This program is tasked with

:

Enhancing critical emergency services communications and improve public safety

Providing frontline responders with extensive communication and data coverage, high resilience and appropriate security

ESN is $1.5

billion programme which will provide

4G

technology on a commercial network to all the UK emergency services. This is the first program of its kind and a unique opportunity for all involved.

Experience:

Experience of working in a major programme, preferably supporting a public sector client.

Applied experience of supporting contracts located in client offices

Knowledge of administration, procurement and subcontract processes

Skills:

Ability to work as part of a team or individually as required

Effective communicator both verbal and written

Works with attention to deal and ensures work is accurate

Strong administrative background:

Good Excel and Outlook skills

Minute taking skills

Organisation

Ability to produce reports

Ability to identify and streamline office operations / administrative functions

The ability to work with diversified teams

Excellent time management and prioritisation skills to help when working in a fast paced environment and having to multitask.

Proactive in approach to work, recommending and improving processes to align to the Programme’s information and records policy and procedures.

Adaptable and flexible in responding to changing priorities.

Core Responsibilities and Duties:

Providing support to the ESN project management team. Responsible for the following areas within the project team:

Able to administer, search and navigate the Contract and Change Requests as required.

Create Project documents and gain approvals.

Raise funding for subcontractors and issue out Service Orders where appropriate.

Keep track of the funds for subcontractors.

Check invoices to ensure that the time invoiced, matches sap. Work with subcontracts to rectify before authorising payments.

Manage the expenses on the project, check expenses against policy and scan in approved documents for resources.

Ensure laptops are accounted for on the project; request them and demobilise as required.

Conduct Inductions with Delivery Partner (DP) new starters.

Act as project contact for any day to day queries, escort visitors in and out, collect post and arrange couriers for laptops to and from Leatherhead.

Ensuring the security clearance process is adhered to.

Maintain the Resource Register.

Issue out project communications.

Organise meeting invites and book meeting rooms where required.

Maintain DP Projector and sign in/out.

Responsible for developing and maintaining project SharePoint sites. This includes commercial correspondence, QA documentation and resourcing.

Management and organisation of training courses for the DP team where needed.

Maintain records of project documents (in line with legislation) and ensure navigation is easy for future reference.

Ensure KBR Health and Safety is visible on the project: re-launch courage to Care conversations, issue toolbox talks, update LERP cascade etc.

Cover for the Governance secretary as and when required.

Work with the Project Manager giving assistance to any other support and administrative tasks as required.
