Working within the Technical Services Team, the successful applicant will be responsible to the Planned Preventative Maintenance Manager to:

Maintain the asset register for a large Government Asset Portfolio

Manage changes to the Asset Register and produce necessary reports as required

Learn and understand the detailing of asset classification to the Uniclass descriptive

Raise work orders for Planned Preventative Maintenance remedial works (including Statutory Inspection Remedial works) through the CAFM system and track and coordinate these work orders from inception to completion.

Co-ordinate the delivery and receipt of information relating to Planned Preventative Maintenance remedial works including Statutory Inspection remedial works.

Ensure the line manager is regularly updated with the statuses of all planned, statutory, legislative and remedial work orders being delivered by the supply chain.

Assist with the Planned Preventative scheduling/programming and project work, as directed by management

Provide administrative support including document control through the Management Information System

Regular reporting in agreed format in a timely manner, to internal/external customers and also to the supply chain.

Identify and make recommendations for additional systems and processes, that will enhance the customer experience whilst meeting the customers’ requirements

Develop and maintain effective working relationships, both internally and externally with customer and client at all levels of management. Ensuring client satisfaction with agreed outcomes and best practice methodology

Ensure areas of concern and opportunities with the delivery of remedial works are identified and highlighted to the relevant line manager.

Administer full audit trail to satisfy internal and external auditors

Ensure contractual obligations are delivered and sustained

Promote a robust health and safety culture within the workplace and across the contracted areas of responsibility at all times

Adhere to the company’s business practices and zero harm culture

Evaluate and develop own working practices and promote safe working practices

Carry out office administration tasks

Carry out other duties commensurate with the role as directed.

Experience & Skills:

Experienced user of Microsoft Office

including Word, Excel and Access

Good working knowledge of databases and reporting

Organised – ability to plan and prioritise workload

Shows initiative and is a self-starter

Willing to learn and able to adapt to change

Sets and meets challenging goals and seeks long term improvement

Good communication skills and the ability to deliver excellent customer service with strong customer focus

Demonstrates a systematic approach to tasks and measures progress against plans

Understanding of Planned Preventative Maintenance and/or Facilities Management

Understanding of asset management systems

Good level of Administrative skills


Experience of working in a secure environment

Knowledge of CAFM systems (Maximo, Concept Evolution and SharePoint)

Experience of working client side with a diverse supply chain

Experience of providing information as part of a Technical Services team



GCSE (or equivalent) Maths & English

Hold, have held or eligible to apply security clearance


National Vocational Qualification (Level 3) in Business Administration or equivalent experience

Technical qualification within the Building Service Industry and/or Facilities Management
